Job Summary

To deliver an efficient, customer-focused and professional PA service to the Manufacturing & Supply Chain Director (M&SD)

To support the Manufacturing & Supply Chain Director in all PA related duties and management of the wider Manufacturing & Supply Chain support team including two PA/HR Admin and two receptionists. Duties will include general correspondence, emails, telephone calls, diary and travel management and system administration, management of the wider PA/HR Admin and reception teams as well as interacting and liaising with P.A.’s for the Group Management Team (GMT) and Operational Management Team (OMT) members, regional M.D.s, Functional Heads and others as required.

Line management responsibility for 2 x PA/HR Admin (who are supporting 4 Directors) and 2 x Receptionists

Primary Responsibilities

Service Delivery

  • Full PA support to Manufacturing and Supply Chain Director including:

o Email (inbox management)

o Diary and travel management

o Task tracker for Manufacturing & Supply Chain Director

  • Managing meeting rooms, visitors and associated requirements that arise at TW Logistics and TW Manufacturing
  • Booking accommodation, meeting rooms and venues, providing refreshments and arranging hospitality as necessary, including supplier events 
  • Accessing and reviewing all correspondence including e-mails, sorting, prioritising and replying as necessary.
  • Preparing monthly reports, general correspondence, meeting agendas, minute taking, monitoring actions and producing presentations.
  • Interaction and liaison with internal and external customers as necessary.
  • Interaction with and assistance with the OMT and MDs, as appropriate.
  • Implementing and maintaining procedures and processes to improve service delivery to all key contacts. 
  • Attend occasional off-site meetings to take minutes, notes and actions.
  • Understanding and optimising the use of IT (including AI) in delivering the services outlined above.
  • Keeping up to date with the evolving technical competencies and expertise required to maintain the required level of skill in the discharge of professional duties.
  • Actioning HR procedures directly for the Manufacturing & Supply Chain Director. Taking care of new starters and leavers, preparing offer packs and references.
  • Maintain all staff personnel files in accordance with current HR procedures. 

People Management

  • Line management of two PA/HR Admin (supporting four Directors) for PA and HR activities
  • Line management of two receptionists including Peterborough event management and all visitor co-ordination
  • Building and upholding effective working relationships with the GMT/OMT members / MD’s, / Functional Heads as well as the wider Supply Chain team.
  • Maintaining open and frank lines of communication between all internal/external customers.
  • Providing responses to both verbal and written correspondence, in a timely and professional manner.

Location

  • This role is based in our Peterborough location with very occasional travel when required including some overnight stays.
