Job Summary

Deliver an efficient, customer-focused, and professional PA service to the CEO, representing the organisation’s values to internal and external stakeholders. Ensure effective and accurate management of the CEO’s correspondence, emails, telephone calls, extensive diary & travel arrangements, and system administration. Liaise with PLC Board, General Management Team (GMT)/Operational Management Team (OMT) members, and their Personal Assistants as required and all external stakeholders.

Primary Responsibilities

  • Review all correspondence, including emails; sort, prioritise, respond and file as necessary.
  • Provide professional and timely responses to both verbal and written correspondence, including high-level stakeholders and Government officials.
  • Comprehensive diary and travel management.
  • Book accommodation, meeting rooms, venues, and arrange hospitality as needed.
  • Arrange overseas travel (US – Investor Roadshow and visits to our Spanish business).
  • Organise GMT dinners, off site meetings, bi-annual MDs Conference, and social events.
  • Coordinate and draft CEO OMT and plc Board reports.
  • Coordinate agendas and papers for GMT and OMT meetings using the Diligent Board Portal.
  • Take minutes at the monthly GMT meeting (UK Board meeting) and issue efficiently, chasing down actions and follow ups, as necessary.
  • Prepare other reports, general correspondence, meeting agendas, as required.
  • Collect and collate information for all CEO meetings.
  • Serve as a professional point of contact, liaising with internal and external customers, including Government bodies/depts, HBF, NHBC, NHQB
  • Implement and maintain procedures and processes to improve service delivery.
  • Process expenses promptly.
  • Liaise with Group customer service team on all incoming customer issues.
  • Build and maintain effective working relationships with the PLC Board, General Management Team/Operational Management Team members, and their PAs on an ongoing basis.
  • Foster good relationships across the wider Taylor Wimpey team.
  • Maintain open and transparent communication with all internal and external customers.
  • Perform any other duties as required to meet the needs of the CEO.
  • Optimise the use of IT in delivering the above services.
  • Manage Head Office reception team (x2).
  • Manage shared ITSC resource (x1).
  • Manage PA to Group Commercial Director (x1).
  • Management of Group corporate hospitality facilities
  • Office management (Head Office)

 

Location: This role is based in High Wycombe, with travel to other Business Units, London, other locations as required.

Experience, Qualifications, Technical Requirements

  • Proven PA experience at Executive Board level.    
  • Experience of working in a fast paced, corporate environment.    
  • Competent knowledge of Diligent, Microsoft Word, Excel, PowerPoint, Outlook, Concur and other related software applications.    
  • Excellent organisational skills and attention to detail.    
  • Excellent minute taking skills    
  • Ability to prioritise, multi-task, manage time effectively and work under pressure to meet tight deadlines.    
  • Professional and able to build effective working relationships (internally and externally).    
  • Ability to work under pressure and demonstrate complete confidentiality.    
  • Comfortable working independently and able to travel when required.
