Job Summary
To deliver administration support to the Production department.
Primary Responsibilities
- Use of Coins system for inputting production-related information ie. Programme changes and producing Gantt Charts.
- Support and prepare letters
- Help and support weekly paid payroll admin.
- Arrange Internal and External Meetings
- Recording departmental holiday and sickness records for Production
- Ordering Site Specific signage and equipment (including PPE/Uniform ordering)
- Updating and maintaining the site list
- Type up ad hoc minutes of meetings
- HR Support – produce HR Letters, attend HR meetings to take notes, provide support/guidance to Production Team on HR issues. Liaise with HRBP
- Liaise with training providers for any training requirements and maintain training matrix for all production team, weekly paid staff and labour only.
- HSE: Category ‘A’, ‘B’ and ‘C’ Reports – Maintain copies of all category notification reports and distribute as required; collate site action reports in preparation for close-out of categories; maintain SHE system close-outs
- Registering plots with NHBC and inputting policy numbers onto system
- Processing Invoices and Payments
- Cover Reception Desk 1 day per week and provide holiday cover
Experience, Qualifications, Technical Requirements
- Excellent IT skills
- Experience of the house-building sector
- Excellent letter-writing skills
- Strong communication skills
